How to set up welcome messages in Discord

ZombyIO greets everyone who joins your server, in a channel you pick and, if you like, by direct message. You write the text once, and placeholders fill in each member’s name and the member count.

Takes about 5 minutesFree, Premium raises limits

What you will end up with

When somebody joins, ZombyIO posts your greeting with their name filled in. In a server with Discord’s rules screen it waits until they accept the rules, so accounts that never do are not greeted.

welcome

Where to find it

Open the dashboard, pick your server and choose Welcome messages in the sidebar (on a phone: under Features in the bar at the bottom). That is two clicks from your server list. You can also press Ctrl K anywhere in the dashboard and type the name.

Open the dashboard

Step by step

  1. Step 1: Open Welcome messages and pick a channel

In the dashboard, pick your server and choose Welcome messages in the sidebar. Under Set it up, choose the channel for the greeting in Pick the channel. Then switch the greeting on, either right there or with the switch in the coloured banner at the top.

The switch, like everything else on the page, is only stored when you press Save in the bar at the bottom. Until then nothing changes on your server.

    Tip

Pick a channel everyone can read. A greeting in a channel new members cannot see does not reach them.

  2. Step 2: Write the greeting

Under The greeting itself you see the message the way Discord will show it. Click the text to edit it and press Escape when you are done. It starts as {user.mention} joined {server}. Welcome! in your server’s language.

Click a chip under Placeholders to copy it, then paste it into the text:

    • {user}: the member’s name on your server
    • {user.mention}: a mention of the member
    • {user.name}: their username
    • {user.id}: their account ID
    • {user.created}: when their account was made
    • {server}: the server name
    • {membercount} and {membercount.ordinal}: the member count, written as 1,234 or 1,234th

    Tip

@everyone and @here never ping from a greeting, so a raid cannot turn into a wave of mass pings. Mention a role instead.

    welcome
  3. Step 3: Choose plain text or an embed

Under How it looks, pick Plain text or Embed. Embed is the default: the greeting sits in a box with a coloured stripe, set in Accent colour. With Plain text only the text is sent.

An embed has more parts, all edited right in the picture of the message: an author line, a title, a thumbnail in the top right corner, a large picture, fields and a footer. Anything you leave empty is left out. Add fields with the Field button: 3 on the free plan, 25 with Premium.

To add a picture, drop it on its place in the message or click that place. JPEG, PNG, WebP, GIF and AVIF work, up to 2 MB on the free plan and 6 MB with Premium. Pictures are stored the moment they are uploaded, without pressing Save.

    Tip

The small author and footer pictures only show next to text. Write something in that line, or the picture stays out of the message.

    welcome
  4. Step 4: Add a welcome image with Premium

Under Welcome image, switch on Send a welcome image. ZombyIO then draws a picture for every new member, with their avatar and two lines of text, and sends it with the greeting. In an embed it takes the place of the large picture.

Pick Panel, Avatar, First line or Second line and drag it on the canvas, or move it with the arrow keys: one percent per press, five with Shift held. Choose a file uploads a background, cropped to 1024 by 360 pixels. The picture under the canvas is drawn the way the bot draws it, with your own avatar and name.

    Important

The welcome image is part of Premium. On the free plan you can look at the editor but not change it, and no image is sent. If Premium ends, your design is kept and greetings go out without the picture until you upgrade again.

  5. Step 5: Decide when the greeting appears and how long it stays

Under Where it appears, Wait until the rules are accepted is on by default. In a server with Discord’s rules screen, members are then greeted when they accept the rules instead of the moment they arrive, and accounts that never accept are never greeted. In a server without the rules screen it changes nothing.

Should the greeting tidy itself up again? removes the greeting after 1 minute, 5 minutes or 1 hour, or after an exact number of seconds up to 3,600. Never keeps it and is the default.

  6. Step 6: Add a direct message and a goodbye

Switch on Also send a direct message and write the Direct message text, up to 1,500 characters. It is sent as well as the greeting in the channel, or on its own if you picked no channel. Members who do not accept direct messages from the server do not get it.

Switch on Announce departures, pick the Farewell channel and write the Farewell message, up to 1,500 characters. It starts as {user} left {server}. and is always sent as plain text.

    Important

Goodbye messages follow the switch at the top of the page too. While it is off, nobody gets a goodbye, even with Announce departures on.

    goodbye
  7. Step 7: Save and send a test

Press Save. Then press Send a test greeting under Try it in Discord. It posts what the page shows right now, unsaved changes included, with you as the new member, so it needs a channel under Pick the channel. Once that post is in, it also sends you the direct message if that is on. Send a test goodbye appears once departures are switched on and have a channel.

A test only ever pings you, and it works even while the feature is switched off.

    Tip

If the test says ZombyIO may not post, it is missing View Channel, Send Messages, Embed Links or Attach Files in that channel. See roles and permissions.

Every setting explained

In the order the page shows them. Names in bold are exactly what the dashboard calls each control.

Set it up

Pick the channel

The channel the greeting is posted in: a text, announcement or thread channel. None is picked at first. Without a channel, only the direct message can go out.

Switch the greeting on

The same switch as the one in the banner. Off by default. Off stops the greeting, the welcome direct message and the goodbye messages.

The greeting itself

Message

The greeting itself, with placeholders. Up to 4,096 characters in an embed. As plain text Discord takes 2,000, so a longer text is cut off when it is sent. A member’s name is shown as written and can never ping anyone or turn into a link.

How it looks

Plain text or Embed. Default Embed. Plain text sends only the text, plus the welcome image when that is on. The embed parts stay saved for later but are not posted.

Accent colour

The stripe down the left of the embed. Default blue (#5B8DEF). Only for Embed.

Author, title and footer

Typed straight into the picture of the message. The author line and title take up to 256 characters, the footer 2,048. They understand the same placeholders as the greeting. An empty part is left out.

PicturesFree: 2 MB · Premium: 6 MB

The large picture, the thumbnail and the small author and footer pictures, in JPEG, PNG, WebP, GIF or AVIF. Only sent with Embed. They are stored the moment you upload them, without pressing Save. When the welcome image is on, it takes the large picture’s place, and your picture is only used if the image cannot be drawn.

FieldsFree: 3 · Premium: 25

Named blocks under the text, each with a name (up to 256 characters) and a value (up to 1,024). Side by side puts a field next to the one before it. A field with only one side filled in is kept but not sent. Discord allows 6,000 characters in one message: past that, fields are left out from the end, and the page says how many. After a downgrade you keep the fields you have, but cannot add more.

Placeholders

Click one to copy it. They work in every text on this page, the welcome image included, and upper or lower case does not matter. Numbers and dates are written the way your server’s language writes them.

Try it in Discord

Send a test greeting and Send a test goodbye post what the page shows now, with you as the new member. Only you are pinged. You can send five tests in a row, then one about every 20 seconds.

Welcome image

Send a welcome imagePremium onlyFree: Not included · Premium: Included

Draws a picture for every new member and sends it with the greeting. Off by default, also on Premium. The bot needs Attach Files in the channel; without it the greeting is sent without the picture.

LayoutPremium only

Pick an element, then drag it on the canvas or move it with the arrow keys: one percent per press, five with Shift held.

Background picturePremium only

A picture of your own, cropped to 1024 by 360 pixels, up to 6 MB. Without one the image uses a colour gradient. Uploading or removing it takes effect at once, without pressing Save.

PanelPremium only

A tinted box behind the text, so it stays readable on a busy photo. Show the panel, Panel colour, Panel opacity (0 to 100), Panel width and Panel height (1 to 100 percent of the image) and Corner rounding (0 to 50). By default a black panel at 45 percent covers the whole image.

AvatarPremium only

The new member’s profile picture. Show the avatar, Shape (a circle or a rounded square), Size (5 to 100 percent of the image height), Ring colour and Ring thickness (0 to 25, where 0 hides the ring). By default a circle with a white ring sits on the left.

First line · Second linePremium only

Two lines of text, up to 200 characters each, with the same placeholders as the greeting. An empty line is not drawn. Each has a Font (Sans, Serif, Condensed or Monospace), an Alignment, a Size from 2 to 40 and a Colour. They start as Welcome, {user}! and You are member #{membercount}. A mention is written as the plain name, because a picture cannot mention anyone.

Where it appears

Should the greeting tidy itself up again?

Never (the default), 1 min, 5 min, 1 h, or an exact number of seconds from 0 to 3,600. Only the greeting in the channel is removed. The goodbye and the direct message stay.

Wait until the rules are accepted

On by default. Only matters in a server with Discord’s rules screen: members get the greeting, and the direct message, when they accept the rules. Members who never accept are never greeted.

Direct message

Also send a direct message

Also sends a greeting privately. Off by default. It goes out even when no channel is picked.

Direct message text

Plain text, up to 1,500 characters, with the same placeholders as the greeting. Starts as Welcome to {server}!. Members who do not take direct messages from the server do not get it.

When someone leaves

Announce departures

Posts a line when somebody leaves. Off by default. Goodbyes are only posted while the feature switch at the top of the page is on as well.

Farewell channel

Where the goodbye goes. Without a channel, nothing is posted.

Farewell message

Plain text, up to 1,500 characters, with the same placeholders as the greeting. Starts as {user} left {server}. and is never removed automatically.

Free and Premium

Premium costs €6 a month per server and is shared by every admin of that server. It raises limits, it does not unlock the feature.

Something not working?

The problems people run into most often, and how to fix each one.

Nobody is greeted when they join

Check these in order:

  • The feature is switched on and saved, and a channel is picked or Also send a direct message is on.
  • Your server uses Discord’s rules screen and Wait until the rules are accepted is on. Members are then greeted when they accept the rules, not when they arrive.
  • Raid defence in auto moderation reports a raid. While it does, joins are not greeted at all.
  • ZombyIO was offline for a while. Joins it handles more than 10 minutes late are not greeted.
  • ZombyIO cannot post in the channel. Server Check in your server’s sidebar says which permission is missing.
  • The newcomer is a bot. Bots are never greeted.
Greetings worked, then stopped for a while

When Discord refuses a post in the channel, for example after a permission change, ZombyIO stops trying there for 15 minutes, or until you next save the page. Fix the channel’s permissions (View Channel and Send Messages, plus Embed Links for an embed), then press Save to try again straight away. See roles and permissions.

Nobody gets a goodbye when they leave

Check these in order:

  • The feature is switched on and saved. Goodbyes follow the switch at the top of the page, like the greeting.
  • Announce departures is on and a Farewell channel is picked.
  • Raid defence in auto moderation reports a raid. While it does, nobody gets a goodbye.
  • ZombyIO was offline for a while. Departures it handles more than 10 minutes late get no goodbye.
  • ZombyIO cannot post in the farewell channel. It needs View Channel and Send Messages there. See roles and permissions.
  • The member was a bot, or ZombyIO’s own defences removed them. Neither gets a goodbye.
Someone left, came back and was not greeted again

A member is greeted at most once in 10 minutes, however often they leave and rejoin, and the same goes for goodbyes. After 10 minutes they are greeted again. Members that ZombyIO’s own defences removed get no goodbye, and bots get neither.

The welcome image is missing
  • The server is not on Premium. The image is only drawn with Premium.
  • Send a welcome image is off, or was not saved.
  • ZombyIO lacks Attach Files in the channel. It then sends the greeting without the image.
  • Many people joined at once, or the image could not be drawn. The greeting goes out without it, and an embed shows your own large picture instead if you uploaded one.
My picture or other embed parts do not show up
  • Plain text is chosen. Only an embed carries the pictures, title, author, fields and footer.
  • The author or footer picture has no text next to it. Discord only shows those pictures beside text.
  • The welcome image is on. It uses the large picture’s place.
  • A field has only a name or only a value. It needs both.
Several greetings arrived in one message

When several people join at the same moment, ZombyIO combines their greetings into one message: up to 10 embeds, or plain lines up to 2,000 characters. That keeps the channel readable during a rush. If the greeting tidies itself up, the combined message is removed after the time you chose.
